The Procurement Specialist is responsible for sourcing, negotiating, and procuring goods and services at optimal costs while ensuring quality, compliance, and timely delivery. This role involves supplier relationship management, cost analysis, and strategic procurement planning to support the organization’s supply chain efficiency.
Key Responsibilities:
1. Strategic Sourcing & Supplier Management
Identify, evaluate, and onboard reliable suppliers/vendors.
Develop and maintain strong supplier relationships to ensure long-term partnerships.
Conduct supplier performance reviews and risk assessments.
2. Procurement & Negotiation
Prepare and issue RFQs (Request for Quotations), RFPs (Request for Proposals), and tenders.
Negotiate contracts, pricing, and payment terms to achieve cost savings.
Ensure compliance with procurement policies and legal regulations.
3. Cost Optimization & Budget Control
Analyze procurement spend data to identify cost-saving opportunities.
Monitor market trends and price fluctuations to adjust procurement strategies.
Work with finance teams to align procurement with budget constraints.
4. Purchase Order & Contract Management
Process purchase orders (POs) and ensure timely order fulfillment.
Manage contract lifecycle, including renewals and amendments.
Resolve discrepancies between orders and deliveries.
5. Compliance & Risk Mitigation
Ensure adherence to company policies, industry regulations (e.g., B-BBEE in South Africa), and international trade laws.
Mitigate supply chain risks (e.g., supplier delays, geopolitical factors).
Maintain accurate procurement records for audits.
6. Cross-functional Collaboration
Work with logistics, warehouse, and finance teams to streamline procurement processes.
Support inventory management by aligning procurement with demand planning.

Qualifications & Experience:
Education:
Bachelor’s Degree in Supply Chain Management, Procurement, Business Administration, Finance, or a related field .
Certifications (Preferred):
CIPS (Chartered Institute of Procurement & Supply)
CPSM (Certified Professional in Supply Management)
PMP (Project Management Professional) – (if involved in procurement projects)
Experience:
Minimum 3-5 years in procurement, strategic sourcing, or supply chain roles.
Experience in tendering, contract management, and supplier negotiations .
